Guide
Respond to Every Review
Copy one prompt. Paste it into ChatGPT, Claude, or Gemini. It builds your brand voice with you, then drafts a reply to every review you ever paste.
No fields to fill. The conversation does the work.
What happens after you paste it
Four steps. The AI does most of them.
1
It asks about you.
One line about your business, 3–5 past replies you liked, and your website or any docs worth reading; it does its own brand research from what you give it. No past replies? It interviews you instead.
2
It drafts your Brand Voice Spec.
You edit, you approve. Save it: on ChatGPT it can go straight into Memory, on Claude it can become a Skill, and anywhere else a note works.
3
You paste reviews. Any mix.
It sorts them itself: positives get specific and warm, negatives get the three-sentence stance treatment, and spam, legal threats, rage-bait, and extortion get flagged, not answered.
4
You post the drafts.
Under a minute a review. You post; it never does.
Coming back tomorrow? Same chat: just paste new reviews. New chat: paste the prompt again; it'll ask for your saved spec and skip straight to work.
What's inside the prompt
Three things that do the heavy lifting
The voice spec
One page the AI drafts from your past replies. Exactly these sections:
- WHO WE ARE: one sentence, grounded in the research
- TONE: three words we are, one word we never are
- BANNED PHRASES: corporate filler you avoid
- OPENERS: how you start; never open two replies the same way
- SIGN-OFF: exactly how you sign
- POLICY LINES: pre-approved sentences for callbacks and contact
- HARD RULES: always-on rules from the bottom of the prompt
The tone control
Two modes, each with its own rules:
- Positive: under 60 words, one specific detail from the review
- Positive: never open two replies the same way
- Negative: calm and specific, neither groveling nor defensive
- Negative: exactly three sentences: acknowledge / action / take it offline
- Negative: one apology max, no "but", never dispute facts in public
The skip list
Five review types the AI flags instead of answering:
- Obvious spam or fake: report it, don't reply
- Anything mentioning legal action: lawyer first, replies later
- Rage-bait: one calm reply ever; if you've replied once, stop
- Extortion: report to the platform, never negotiate in public
- Coordinated review-bomb: one calm reply at the top, report the rest
The full prompt
Copy it once. Use it forever.
Paste the whole thing into any new chat. The prompt handles the rest.
