Stop Re-Explaining Yourself to AI

If you start every AI chat by re-typing what your business does, who your customers are, and how you like things written, you're paying the explaining tax every single day.

The fix is the same on every major platform: save your context once, then reuse it forever. Three platforms, three names: OpenAI ChatGPT calls it a Custom GPT, Google Gemini calls it a Gem, and Anthropic Claude calls it a Project.

The "Explaining Tax" Is Quietly Costing You Hours

Most people use AI like a stranger they meet for the first time every morning. They open a fresh chat, paste in the same background: "we're a multi-location fitness studio, our tone is friendly but professional, here's how we handle leads" and only then get to the actual question.

Do that five times a day and you've spent more time setting the stage than getting work done. Worse, the quality is inconsistent: every chat starts from a slightly different version of "you," so the output drifts.

Set Up a Custom GPT

A Custom GPT is a saved version of ChatGPT that already knows your business. Use it when you repeatedly ask ChatGPT for the same kind of work: drafting member emails, answering FAQs in your voice, or summarizing leads.

Note: building and editing GPTs is done on the web (chatgpt.com), not the mobile app, and requires a paid ChatGPT plan.

Open the GPTs area

On the web, click "Explore GPTs" in the ChatGPT sidebar, or go directly to chatgpt.com/gpts.

Click Create

Select "Create" to open the GPT builder. You can either describe what you want in the conversational builder and let ChatGPT draft it, or switch to the "Configure" view to fill in the fields yourself.

Name and describe it

Give it a clear name and short description (for example, "Front Desk Email Writer"). Add a few conversation starters (example prompts that show what it's for).

Write the instructions

This is where you save your context once: what the GPT should do, the tone of voice, your do's and don'ts, and any step-by-step workflows. Be concrete ("When a lead asks about pricing → do X") and use headings and lists so priorities are clear.

Add knowledge files

Upload reference material the GPT should draw from: your service menu, pricing, SOPs, brand guidelines, or FAQs. It will use these as source material when answering.

Test, then save

Use the preview panel to try real prompts and refine the instructions. When it behaves the way you want, save it and choose whether to keep it private, share via link, or publish it.

Google Gemini

Set Up a Gem

A Gem is your own custom version of Gemini. You write instructions once, covering who it should be, what it should do, the background it needs, and how to format answers, and Gemini personalizes every response to match.

Open Gems in the Gemini web app

Go to gemini.google.com and, on the left, click "Explore Gems," then "New Gem." (Gems are created in the web app.)

Name your Gem

Give it a name that reflects its job, like "Member Retention Assistant" or "Lead Reply Drafter."

Write the instructions

Cover the four building blocks: Persona (the role it should play and how to respond), Task (what you want it to do or create), Context (background about your business it should always know), and Format (how answers should look). You don't need all four, but a few make a big difference.

Upload files for more context

Attach documents like price lists, brand voice notes, and common questions so the Gem has your reference material on hand for every chat.

Preview, then Save

Use the preview box on the right to test a prompt and see how it responds. Previewing does not save it automatically, so click "Save" when you're happy with the result.

Anthropic Claude

Set Up a Project

A Project is a dedicated workspace in Claude that keeps your instructions and reference documents in one place, shared across every chat inside it. Projects are available to everyone, including free accounts (free plans can create up to five).

Open Projects

In Claude, click "Projects" on the left, or go to claude.ai/projects.

Create a new project

Click "+ New Project" in the upper-right corner.

Name and describe it

Give the project a name and description so you can find it later. (Note: Claude doesn't read the name and description as context; those are just for you.)

Set visibility (Team/Enterprise)

If you're on a Team or Enterprise plan, choose whether to keep the project private to you and invited members, or share it with your wider organization.

Add project knowledge

On the right side of the project, click "+" to upload the documents Claude should use across all chats: SOPs, pricing, brand guidelines, FAQs. This is your shared reference material.

Set project instructions

Click "Set project instructions," describe how you want Claude to behave and respond, and click "Save instructions." Claude applies these to every chat in the project, so you only explain yourself once.

One thing to remember on Claude:Context isn't shared between chats automatically; it lives in the project's knowledge base and instructions. Put anything you want reused there, not just in a single conversation.
